1 Who We Are
DanceMgr is a studio management platform operated by TapCow, LLC ("DanceMgr," "we," "us," or "our"), accessible at dancemgr.com and through our companion mobile applications. This Privacy Policy describes how we handle personal information across the platform, the studio-branded web portals we host on subdomains of dancemgr.com, and our mobile apps.
2 Scope of This Policy
DanceMgr provides software to dance studios ("Studios") so they can manage students, classes, enrollments, payments, waivers, and related operations. In doing so, we act in two roles:
- As a service provider (processor) to each Studio for the student, guardian, and enrollment data that the Studio and its families enter into the platform. The Studio controls that data and decides how it is used.
- As a controller for the account and billing information we collect directly from Studios and from individuals who create a login to access a Studio’s portal.
If you interact with a specific Studio, that Studio’s own privacy practices may also apply. Please direct questions about a Studio’s use of your information to that Studio directly.
3 Information We Collect
We collect the following categories of information in order to operate the platform:

| Usage & device data | Log data such as IP address, device type, operating system, app version, and timestamps, collected automatically to keep the service secure and reliable. |
We do not use third-party advertising networks, and we do not sell your personal information.
4 How We Use Information
We use the information described above to:
- Provide, maintain, and improve the DanceMgr platform and mobile apps.
- Authenticate users and keep accounts secure.
- Display class schedules, enrollments, attendance, and waivers to the appropriate people.
- Process subscription payments and, where a Studio enables it, family payments through Stripe.
- Send transactional communications such as email verification, password resets, and important account notices.
- Diagnose technical problems, prevent fraud and abuse, and comply with legal obligations.
We process this information because it is necessary to provide the service you or your Studio requested, to pursue our legitimate interest in operating a secure and reliable platform, and to comply with applicable law.
5 Children’s Privacy
Because dance studios serve students who may be minors, the platform stores limited information about children — such as a first name, age or date of birth, and class enrollment — so that Studios can manage classes and guardians can view their child’s schedule. This information is provided by a parent, guardian, or the Studio, acting on the family’s behalf.
We do not knowingly collect personal information directly from children under 13, and we never require a child of any age to create an account. At a parent or guardian’s discretion, a Studio may allow an older minor — 13 or older, for example a teen who assists as an instructor — to hold their own limited login. Any such login is initiated by the parent or guardian, is restricted to viewing schedules and, where applicable, instructor functions, and never includes payment or billing access. A parent or guardian can revoke it at any time by removing the child’s email from their profile, and may review, update, or request deletion of their child’s information through the app or by contacting their Studio or us at [email protected].
If you believe a child’s information has been provided to us without proper authorization, or that a child under 13 has been given a login, please contact us and we will promptly investigate and remove it as appropriate.
6 How We Share Information
We share personal information only in the limited circumstances below. We do not sell your personal information.
- With your Studio. Information you enter is visible to the Studio you are associated with and its authorized staff, so they can manage classes and enrollments.
- Service providers. We use trusted vendors to operate the platform — including Stripe (payment processing), our cloud hosting provider, and our email delivery provider. They may only process data on our behalf and under contract.
- Legal reasons. We may disclose information if required by law, subpoena, or other legal process, or to protect the rights, safety, and security of our users, the public, or DanceMgr.
- Business transfers. If DanceMgr is involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction, subject to this policy.
7 Payments
Payments are processed by Stripe. When you make or receive a payment, your card details are transmitted directly to Stripe and handled under Stripe’s own security standards and privacy policy. We receive limited transaction metadata (such as amount, date, and status) but do not store full card numbers on our servers.
Your use of payment features is also subject to Stripe’s Privacy Policy.
8 Data Retention
We retain personal information for as long as your account is active or as needed to provide the service. When an account is deleted, we remove personal login and contact details as described in Section 11. Studios may retain enrollment and payment history as required for their own accounting, tax, and legal recordkeeping.
We may also retain certain information as necessary to comply with legal obligations, resolve disputes, and enforce our agreements.
9 Security
We take reasonable technical and organizational measures to protect personal information, including encryption of data in transit (HTTPS), hashed password storage, access controls, and routine backups. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security.
10 Your Rights & Choices
Depending on where you live, you may have the right to access, correct, export, or delete the personal information we hold about you, and to object to or restrict certain processing. To exercise these rights:
- Update your profile and your dancers’ details directly in the app.
- Request deletion of your account from the Account screen in the app (see Section 11).
- Contact us at [email protected] for any other request, including data access or export.
We will respond to verified requests within the timeframe required by applicable law. We will not discriminate against you for exercising these rights.
11 Account & Data Deletion
You can delete your account at any time from the Account screen in the mobile app. Deleting your account permanently removes your login and personal contact details, and you will no longer be able to sign in.
As noted above, your Studio may retain enrollment and payment history that is associated with the family’s account, as required for its accounting and legal records. If you would like a Studio to remove that information, please contact the Studio directly, or email us at [email protected] and we will help coordinate the request.
12 Mobile App Permissions
Our mobile app may request certain device permissions to function. We only request what is needed, and you can control these in your device settings:
- Secure storage — to keep you signed in between sessions.
- Network access — to communicate with your Studio’s portal.
- Notifications (optional) — to alert you about schedule changes or pending waivers, if enabled.
The app does not access your contacts, photos, precise location, microphone, or camera unless a specific feature you initiate requires it and you grant permission.
13 Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will revise the "Effective" date at the top of this page and, where changes are material, provide additional notice by email or within the app. Your continued use of the platform after the effective date constitutes acceptance of the updated policy.
